Update for Smart Office Scan is now available

The latest version of Smart Office Scan now available!

X-Solutions was acquired in June 2009 by Nuance, a leading provider of speech and imaging solutions for businesses and consumers. Nuance has developed PaperPort as a product to enhance office workers to work with digital and paper Documents from their desktop. And as you know, X-Solutions has been a key partner for HP, providing one of the leading MFP server-based scanning solution within HP with Smart Office Scan.

By combining these desktop- and server-based MFP solutions, Nuance can now provide you, HP and your customers with the ability to achieve total electronic document control through the use of a HP MFP.

With this new point release of Smart Office Scan, it is now possible to directly integrate the Smart Office Scan and PaperPort. This means that your HP customers can now access Smart Office Scan functionality directly from their PaperPort desktop.

For example: A customer utilizes the Smart Office Scan MFP client to scan paper documents into SharePoint with 3 additional metadata questions to determine the final storage destination. This exact same process is now possible with digital documents on a PC using PaperPort. Simply drag a document within the PaperPort desktop to the Smart Office Scan icon on the PaperPort Send To bar and a screen will popup which offers the user the same workflow options as the Smart Office Scan client on the HP MFP.

Most accurate Word and Excel output via Nuance OCR technology
With the technology of the Nuance OCR toolkit (Omnipage) we have been able to enhance the current word and excel output formats resulting in a much more accurate word and excel output.

Scanning to editable formats directly from the HP MFP, becomes increasingly important for many companies. When paper contracts of other files have to be retyped, simply scan and convert this file directly to an editable format like Microsoft Word offers real time savings for a lot of organizations. You are now able to make your customer aware of this unique time saving features. Simply download the latest version of Smart Office Scan and demonstrate to your customer how simple scanning can be with Smart Office Scan.

Smart Office Scan adds OXPD client support for the new HP Scanjet Enterprise 7000n
The HP Scanjet Enterprise 7000n Document Capture Workstation is an easy to use, shared, A4 sheet-feed document capture solution that features fast, reliable paper handling as well as superior network manageability for IT-managed large workgroups and enterprise customers. Designed to improve and simplify document workflows, the HP Scanjet Enterprise 7000n. The intuitive 8.4-inch color touchscreen display and full QWERTY keyboard allows user to maximize to functionalities of Smart Office Scan.

Adding this all together makes this device in combination with Smart Office Scan ideal for archiving and retrieval of digital documents.

More complete browsing through Microsoft SharePoint
As many organizations use HP and Smart Office Scan to scan directly to Microsoft SharePoint, we have used the customer feedback gathered to improve the SharePoint connector. It is now possible to to access the whole SharePoint site from the HP MFP through Smart Office Scan.

PID authentication through Active Directory
Personalized scanning is also a growing requirement for organizations. This increases efficiency and also security. Within Smart Office Scan it was already possible to allocate a PID code to each user on the Smart Office Scan server. With this update it is also possible to manage these PID’s (personal ID) from Active Directory. This makes maintenance and changes much easier to coordinate for IT management.

These are some of the new features added to the existing power of Smart Office Scan in terms of easy and intuitive scanning on a HP MFP. Important process changes

New Smart Office Scan trials now last for 45 days and the process to obtain a trial license has also been improved. To request a 45 day trial, please go to www.smartofficescan.com/registration and select "Register Trial". If it is your first time requesting a ScanFlowStore trial, an approval is completed by Nuance within 12 hours and the access to the Nuance Network will be e mailed directly to you. Once you have the Nuance Network account access, you can obtain additional ScanFlowStore trials anytime after that initial point simply by logging in to the Nuance Network.

Zone OCR
Smart Office Scan's Zone OCR module allows you to optimize efficiency and increase productivity by easily structuralizing the scanning process of large amounts of documents. By using a document template, you can create a search option based on a certain metadata value or select pre-fixed coordinates. After scanning, Smart Office Scan automatically searches for the pre-configured values and uses them to enter the file properties, name the documents, create folders and route the documents directly to the correct storage location.

Total Email Synchronization
Smart Office Scan already offered users the opportunity to scan and email documents directly from an MFP. Now, with our new release, Smart Office Scan can also synchronize with your personal email client. After scanning, Smart Office Scan will attach the document as text searchable PDF to an email, ready to be sent to your contact! After sending, a copy of the email is automatically stored in the "Sent items" folder of your email client (for example, Lotus Notes or Microsoft Outlook). Smart Office Scan's update offers the opportunity to monitor all sent emails and manage a comprehensive email archive.
